All Texarkana Resources employees who are classified as full-time, working 32 hours or more per week, will accrue 4 hours of personal time off per pay period. Five hours of personal time off per pay period will be accrued for employees after five years of employment at Texarkana Resources. Personal Leave is limited to 160 hours accrued. Employees scheduled to work less than 32 hours a week will not accrue personal leave. Accrual shall begin immediately upon employment, but employees will not be granted personal or sick leave use until after their first 30 days of employment. Personal Leave may be requested for any time during the year but must be approved in advance and should be requested at least one week in advance. This policy shall not be deviated without prior written authorization from the CEO.
Employees will not be granted unpaid leave until all current year leave is exhausted. However, disciplinary action may occur if leave is exhausted, and no personal leave is accrued to use. Refer to Attendance policy for full details.
Separation of Employment
Unused Sick Leave is forfeited upon an employee’s work separation. However, unused Personal Leave may be paid out under the following circumstances:
1. If an employee is involuntarily separated from employment for economic reasons as part of a company reorganization or a reduction in the workforce, the employee will receive the full balance of accrued, but unused Personal Leave.
2. If an employee retires from employment, due to reaching retirement age or serious illness, the employee will receive the full balance of accrued, but unused Personal Leave. *Note – If an employee retires and received all accrued leave balance and returns to the organization at a later time in another role, they will not be able to obtain all their leave once they leave again but instead will qualify for ten days of accrued leave with two weeks’ notice.
3. If an employee voluntarily resigns from employment with at least two weeks’ advance written notice, and that employee fulfills that two-week obligation by working all of their scheduled shifts, then the employee will receive ten days of accrued, but unused Personal Leave.
Paid or unpaid leave time may not be counted toward a notice period under this policy, with the exception of administrative separation action.
All Texarkana Resources employees who are classified as full-time, working 32 hours or more per week, will accrue 4 hours of sick leave per pay period. 5 hours of sick leave per pay period will be accrued for employees after five years of employment at Texarkana Resources. Sick Leave is limited to 480 hours accrued. Part-time employees are not entitled to accrue sick leave. A physician’s statement will be requested for more than three days sick leave but may be requested after one day of leave with the HR Coordinator’s discretion. This leave may be used when the employee is needed to provide care for and assist a member of the employee’s immediate family who is sick (spouse, child, parent, grandchild, grandparent, sibling without other support). Sick leave may not be taken until accrued. Upon termination an employee will not be paid for accrued sick leave.
Paid time off or PTO refers to the allocation of time employees can take off work and still be paid regular wages. PTO starts accruing after 90 days of employment.
Eligible employees must regularly work at least 30 hours per week. Employees working less than 30 hours per week do not qualify for PTO. Employees whose status changes from full-time to part-time may use personal days accrued as full-time.
Employees must use paid personal days for all absences until they have depleted their bank of paid personal days, at which point any further approved leave will be unpaid. Employees may accumulate personal days for up to 96 hours and can be taken in increments as low as one hour.
All PTO requests are subject to supervisor’s approval and department staffing needs.
The employee must use PTO hours according to their typical workday. For example, if you work an eight-hour day and need to take off a full day, you must request eight hours of PTO. PTO is paid at your regular pay rate and is not subject to overtime.
Personal time is computed monthly and pro-rated, depending on scheduled hours. PTO accrues based upon paid hours of up to 2,000 (40 hours per week) per year, excluding overtime. If you work 40 hours per week, you will earn 8 hours of paid personal time for each month of employment. If you work 35 hours per week, you will earn 7 hours of paid personal time for each month of employment, and if you work 30 hours per week, you will earn 6 hours of paid personal time each month. You will not accrue PTO on unpaid leaves of absence. You cannot borrow against your PTO bank; therefore, advance leave is not allowed.
Employees who leave the organization, whether voluntarily or involuntarily, will not receive compensation for unused accrued personal days.
